Best Practices: Conference Apps

Options

Hey y'all - I come up against this pickle a lot and would love to know if anyone else has other strategies here.

For conferences that do not give out attendee lists (even if you sponsor or have a booth), and the attendees don't log into to the app until a week or two ahead of the event (sometimes the day before), how do you manage to book meetings ahead of time, without waiting until the last minute?

I've checked events to see who is sponsoring or companies that are attending then trying to "guess" what persona from the company would be there. Any other suggestions from y'all?

  • Hi @Natasha Hill!

It's never ideal when a conference leaves you empty-handed on attendees but it happens. That's when the detective work begins! Our team has developed a few strategies to help identify potential attendees:

    • Ask for Last Years List: Event organizers will often give you this list. It may not have exact names but will likely have companies and sometimes titles. Companies often attend the same conferences more than once. Run this list against your CRM.
    • Sponsor List: Start by pulling together a list of sponsors from the event prospectus. Cross-reference this with your CRM to identify key personas likely to attend.
    • Speaker List: Check the conference website for the list of speakers. Sometimes the formatting can be tricky, but it's worth the effort to extract this information.
    • Historical Data: Leverage any historical data you have from past events.
    • 6sense Segments: Create a 6sense segment of target accounts researching keywords related to the conference.
    • Local Target Accounts: Identify target accounts local to the event city. You can schedule meetings in convenient locations like a Starbucks or hotel lobby. This list is also great for inviting people to ancillary events you might be hosting outside the conference.
    • Specific Target Audience: If the conference has a specific target audience, pull a relevant list from your CRM. For example, for HubSpot Inbound, we gathered our target accounts using HubSpot as their CRM, along with key personas, to reach out and set up meetings as they will likely be attending this type of conference.

    Hope these tips help!
